Office and headquarters safety inspections for field companies
Field companies often forget the office. A short, regular inspection keeps the headquarters covered without heavy paperwork.
What it is
An office or headquarters inspection is a recurring checklist rather than a step-by-step JSA. It looks at the shared space — walkways, storage, electrical cords, workstations, exits and emergency arrangements — and turns anything found into a tracked corrective action with an owner and due date. Shops or yards attached to the office usually need their own checklist.
When to use it
- On a regular schedule your program sets, such as monthly or quarterly
- After moving offices, renovating or changing the floor layout
- When new staff, visitors or equipment are introduced
- After an incident, near miss or concern raised by staff
Example steps, hazards and controls
Illustrative examples only. A competent person must assess the actual task, site and equipment and choose controls that fit.
01Walk entrances and walkways
Possible hazards: Slips on wet floors, trips on cords or boxes, poor lighting
Example controls: Mats at entrances, cord management, clear storage, report burnt-out lights
02Check workstations
Possible hazards: Awkward postures, prolonged screen work
Example controls: Adjustable chairs and screens, encourage breaks, ergonomic review on request
03Check electrical and storage
Possible hazards: Overloaded power bars, heavy items stored high
Example controls: Remove daisy-chained power bars, store heavy items low, step stools available
04Confirm emergency arrangements
Possible hazards: Blocked exits, missing extinguisher checks, unknown muster point
Example controls: Keep exits clear, check extinguisher tags, post evacuation map and visitor sign-in
Where the work happens
Headquarters or office
The main focus: shared spaces, workstations, emergency procedures and visitors.
Attached shop or yard
Use a separate yard or shop checklist for vehicles, mobile equipment and loading areas.
Field jobsite
Field work stays on task-specific JSAs; the office inspection does not cover it.
How SafeTask helps
Describe the job and choose the work location and site type; SafeTask drafts ordered steps, 5×5 risk ratings and hierarchy-of-controls measures for you to edit. Regulatory references appear only from verified records — otherwise the document shows REGULATORY VERIFICATION REQUIRED. After a person approves it, export a PDF or share by QR code for worker acknowledgement.
Frequently asked questions
Is an office inspection required?
Requirements depend on your province, size and program. SafeTask helps you document inspections; the employer decides what their program requires.
What happens to items found during the inspection?
Each finding can become a corrective action with an assignee and due date, then be verified and closed with an audit trail.
